floGPT AI Receptionist for Cloudbeds

floGPT answers your property's phone with an AI voice agent that can check availability, quote rates, look up and create reservations, and hand off to your team. Connecting Cloudbeds lets the agent work from your live inventory instead of a static script.

How to sign up#

  1. Create a floGPT account at flogpt.com. No credit card is required to connect Cloudbeds and run test calls.
  2. During onboarding, choose the Hospitality vertical.
  3. Give the AI agent a phone number. You can buy one inside floGPT or forward your existing line — the onboarding flow covers both.

How to connect Cloudbeds for the first time#

  1. In floGPT, go to Integrations → Property Management System.
  2. Select Cloudbeds.
  3. Authorise the connection. Cloudbeds supports two methods and floGPT accepts either:
    • OAuth — press Connect and sign in as the property owner. Nothing to copy or paste.
    • API key — paste a property-level key beginning cbat_. Cloudbeds recommends this for property-level users. Add the Property ID as well if your key covers an organisation with more than one property.
  4. Choose which capabilities the AI agent may use. Nothing is granted implicitly: you tick the ones you want, and you can start read-only and add booking later.
  5. Press Connect. floGPT verifies the credentials against Cloudbeds immediately and shows any error inline rather than failing later on a live call.
  6. Leave Auto sync enabled. Cloudbeds does not send webhooks, so this is what lets floGPT notice new bookings, upcoming arrivals, and checkouts.
  7. Place a test call and ask about availability. The agent should answer from your real inventory.

Your credentials are encrypted at rest and are never displayed again after saving.

What the integration does#

Once connected, the AI voice agent can:

  • Check availability for a date range and occupancy
  • Quote a rate, including the cancellation policy attached to it
  • Find a reservation by confirmation number or guest name
  • Create a reservation
  • Modify or cancel a reservation
  • Retrieve a folio to answer billing questions
  • List arrivals so the agent knows who is expected

Every one of these is optional. The agent can only do what you ticked during setup, and the capability list is enforced on floGPT's servers — it is not merely hidden in the interface.

Limitations#

  • Availability and rates are read live at call time. floGPT keeps no shadow copy of your inventory, so an answer is only ever as current as the Cloudbeds API response.
  • The agent does not take payment over the phone. Reservations are created without card capture; collect payment through your normal Cloudbeds flow.
  • One property per connection. Multi-property groups connect each property separately.
  • Write capabilities are refused when they were not granted, cancellations included. If the agent says it cannot cancel a booking, check the granted capabilities first.
  • Rate plan and room type names are read from Cloudbeds verbatim. If they are internal codes, the agent will say internal codes — rename them in Cloudbeds for guest-facing clarity.
  • Group bookings and complex multi-room itineraries are handed to a human rather than attempted.
  • Cloudbeds API keys expire after 30 days without use. floGPT's sync keeps an active connection warm, which is a second reason to leave Auto sync on.

How to disconnect#

From floGPT. Go to Integrations → Property Management System → Cloudbeds and press Disconnect. This deletes the stored credentials, stops all polling, and immediately prevents the AI agent from using any Cloudbeds capability. Calls are still answered — the agent falls back to taking a message.

From Cloudbeds. Revoke floGPT's access from the property's apps screen in Cloudbeds. floGPT detects the revoked credential on its next request and marks the connection as disconnected, with the reason shown on the integration screen. No background polling continues against a revoked credential.

Reconnecting later is the same flow as the first connection.

How to get support#

  • Email [email protected]. Include your property name and the approximate time of the call in question, which is what lets us find the right transcript.
  • Report a suspected integration bug to the same address with "Cloudbeds" in the subject line.
  • Product documentation: flogpt.com/docs
  • Support hours and response targets: flogpt.com/contact

Cloudbeds publishes its own API documentation at developers.cloudbeds.com.
